Aluminum Window Handover: Documents to Request for Future Maintenance
Keep product identification, operating instructions and maintenance responsibilities together so the completed window project remains understandable after handover.

A finished window can remain in use long after the people who selected it have moved to another project. A useful handover file helps the next owner or maintenance team identify the assembly and find the instructions that apply to it.
This article is a suggested record-keeping checklist, not a universal handover specification. The contract, local requirements and the relevant product suppliers determine the documents and responsibilities needed for each project.
Identify the installed openings
Connect each window reference to its location or window schedule. Record the final product or system reference and any documented changes from the original proposal. Keep drawing revisions clearly identified.
The phrase aluminum window is not enough to identify replacement parts or operating instructions. A useful record distinguishes the frame and sash configuration, opening type and relevant component references without assuming that every opening is identical.
Collect operating instructions
Request the instructions that apply to the supplied configuration. Keep information about normal operation, restrictions and any user precautions with the handover file. Do not substitute a generic video for the applicable written guidance.
Where an opening includes specialist hardware, identify the instructions for that hardware. Record whom the user should contact when operation changes or a component appears damaged. This guide does not provide adjustment procedures; those should come from the relevant supplier or a qualified service provider.
Separate cleaning guidance from repair instructions
Ask for the finish and glazing care instructions applicable to the project. Record any specified inspection or maintenance intervals rather than inventing a universal cleaning schedule. Exposure and product configuration can differ between locations.
Do not treat appearance, cleaning and repair as the same task. A surface-care instruction is not authorization to dismantle hardware, modify drainage paths or replace a glazing component. Keep the relevant service contacts available for questions outside routine care.
Preserve the component references
For aluminum window and door profiles, record the known system and component identifiers supplied for the project. Where available, keep references for glazing, seals and hardware connected to the finished opening.
The Department of Energy describes frames, glazing and spacers as contributors to window performance. A handover file should therefore describe the assembly rather than only the aluminum profiles. Do not infer that a visually similar replacement component preserves the original assembly's performance. Ask for compatibility guidance before substitutions.
Keep performance documents within their scope
Retain the reports or product records required by the project and identify which installed configurations they cover. Keep any limitations or exceptions with the documents. Do not broaden a component statement into a claim about every window in the building.
If a later modification is proposed, make the relevant existing records available to the responsible supplier or designer. This is more useful than searching for a promotional brochure after the original configuration has been forgotten.
Make responsibility easy to find
Record the appropriate contacts for installation questions, product service and any applicable warranty enquiry. Retain the actual warranty terms where supplied. Do not replace them with an informal promise or assume one party is responsible for every issue.
Include a simple service history page for dates, reported observations, actions and parts replaced. Preserve original records when updates are made so later reviewers can understand what changed.
Handover file checklist
- Window schedule and location references.
- Final drawings and relevant revisions.
- Product, glazing, seal and hardware identifiers where available.
- Applicable operating and care instructions.
- Required performance evidence and its limitations.
- Supplier, installer and service contacts.
- Applicable warranty documents.
- Service history and document update record.
Plan the file before delivery
Discuss document requirements with the aluminum profiles manufacturer, system supplier, fabricator and installer as appropriate to their roles. Aluminium profiles and aluminum extrusions may pass through several stages before they become a completed window; clarify who provides each part of the final record.
For a CIMU project enquiry, include the requested handover documentation alongside drawings and configuration requirements. Confirm the available documents and responsibilities for the particular order. No specific warranty, certification or maintenance service is promised by this guide.

Frequently asked questions
Can one generic manual cover every window on a project?
Confirm that the manual applies to each supplied configuration. Record different operating or maintenance instructions where the supplier identifies them.
Does this checklist set a cleaning interval?
No. Obtain the instructions and intervals applicable to the specific products, finishes and project conditions.
Why retain component references?
They help the responsible supplier or service team identify the assembly and assess replacement options. Appearance alone is not a compatibility check.
