Aluminum Profile Samples: What to Record Before Approval
Turn an aluminum profile sample review into a clear project record by identifying the sample, stating what was reviewed and keeping unresolved questions visible.

A sample can help a project team discuss an aluminum profile, but an approval note is useful only when its meaning is clear. Was the review about appearance, a specific interface, a documented dimension or the complete proposed configuration? Record that scope before the sample becomes a reference for an order.
This guide proposes a documentation workflow. It does not define contractual acceptance, replace dimensional inspection or establish a product certification. Agree the project's actual approval requirements with the responsible parties.
Give each sample a traceable identity
Assign a sample reference and record when it arrived, who supplied it and which proposed order it relates to. Include the profile reference, drawing revision and the finish description supplied with it. If an item has no reliable label, record that uncertainty instead of inventing an identity.
When reviewing several aluminum profile extrusions, keep the labels with the samples during photography and discussion. A photograph of three similar pieces is difficult to interpret later if nobody can identify which one was approved.
State exactly what is being reviewed
Separate the review into named questions. For example, appearance may be reviewed against an agreed reference, while a connection detail may need its own drawing check. Record which checks were actually performed and which were not.
The Aluminum Extruders Council describes dimensional inspection tools and metallurgical tests as distinct parts of extrusion quality assessment. An appearance review is therefore not evidence that every material property or dimension has been checked. Avoid a single unqualified word such as approved when the review covered only one aspect.
Connect the sample to the drawing
Write the applicable drawing number and revision on the review record. Describe any difference between the physical sample and the current proposal. A sample submitted earlier may not represent later changes to the proposed profile or assembly.
Ask your aluminum profiles manufacturer or supplier to confirm the relationship between the sample and the order. Do not assume that a similar-looking piece represents the same product configuration.
Keep observations separate from decisions
Write observations in specific terms: which surface was reviewed, which interface was compared and which document was used. Then record the decision, the decision-maker and any conditions.
For aluminum window and door profiles, a sample review may leave questions about the finished assembly. Keep those questions open rather than treating the sample as proof of whole-window performance. A component is not the entire installed window.
Retain a usable reference
Agree who retains the reference sample and how it will be identified. Preserve the connection between the sample, photographs, correspondence and purchase documents. Follow the supplier's handling and storage instructions so the reference remains useful.
Where a revised sample is requested, identify the new submission separately and record whether it replaces the earlier reference. Do not quietly change the reference while retaining the old approval note.
A practical sample review record
- Project and proposed order reference.
- Supplier and sample identification.
- Profile reference and drawing revision.
- Stated finish and comparison reference.
- Scope of checks actually performed.
- Observations and linked photographs.
- Decision-maker, date and conditions.
- Open questions and next agreed action.
- Location of the retained reference sample.
Before the order is released
Check that the order documents reflect the approved scope and any agreed changes. Keep unresolved matters visible to the person authorizing the next step. The same discipline applies whether your documents call the components aluminium profiles or aluminum extrusions: a consistent reference matters more than a broad description.
For a CIMU enquiry, include the profile or system reference, relevant drawings and the questions you want the sample to answer. Confirm sample availability and approval arrangements for that enquiry; this article does not promise a standard sampling service or a particular certification.

Frequently asked questions
Does approving the appearance of a sample approve every property?
No. State the scope of the review. Material properties, dimensions and assembly performance require the evidence specified for the project.
What should I do if the drawing changes after a sample review?
Identify the new revision and ask whether the sample still represents the proposal. Record any additional review or replacement reference required.
Should the supplier keep the only approved reference?
Agree reference retention and access with the project parties. Record who holds each identified reference rather than assuming that everyone has the same sample.
